Position: Administration & Data Officer

Organisation: Manchester City Council
Location: Manchester Town Hall or hybrid across council offices
Contract: Full-time, Permanent (37 hours/week)

🏙️ About the Role

Manchester City Council is transforming its services through smarter use of data and efficient admin support. We’re looking for a dedicated Administration & Data Officer to support our digital strategy team. You’ll balance administrative duties with data processing and analysis to help shape key decisions and improve customer outcomes.


📌 Key Responsibilities

  • Provide general office support including managing emails, answering phone queries, and welcoming visitors.

  • Coordinate meetings and events: arrange rooms, prepare documents, record minutes, distribute and follow up.

  • Maintain and update both digital and paper records—accurate data entry across multiple databases.

  • Extract, clean, and validate data from source systems to support reporting and decision-making.

  • Produce regular and ad hoc reports using Excel, Power BI, or similar tools.

  • Develop and maintain spreadsheets, data sets, logs, and tracking tools.

  • Ensure data quality and compliance with GDPR/data protection policies.

  • Support process improvements—identify ways to streamline admin/data workflows.

  • Liaise with internal teams and external partners to gather and share accurate data.

  • Provide training or guidance to colleagues on data entry standards and software use.


Essential Qualifications & Experience

  • GCSEs (or equivalent) including English and Maths; A-levels or equivalent are preferred.

  • Experience in an administrative or data support role.

  • Strong IT skills—confident with MS Office (especially Excel) and database systems.

  • Excellent attention to detail and accuracy in data handling.

  • Good organisational and time-management skills with ability to meet deadlines.

  • Clear verbal and written communication skills.

  • Understanding of data protection principles and handling of sensitive information.


🎓 Desirable Qualifications & Skills

  • Experience with Power BI, SQL, Python, R, or similar analytical tools.

  • Experience working in local government or public-sector environment.

  • Knowledge of records management systems or CRM platforms.

  • Training in data protection (e.g., GDPR) or business administration qualification.

  • Capability to visualise data clearly for non-technical audiences.
